Airbnb approached Venue Retreat with a clear intention: their annual company retreat needed to feel different. With 120 team members flying in from multiple offices, they were looking for a setting that offered privacy, character, and enough space for genuine connection. What they didn’t want was another conventional hotel or a predictable corporate environment. They wanted a retreat that felt considered, enjoyable, and true to the spirit of their brand.

Our first conversations with Airbnb’s senior team and HR executives, including Rachel Peffer, focused on understanding what would make this offsite meaningful. Team building was a priority, but not in a formulaic way. They wanted shared meals that didn’t feel mass-produced, spaces that encouraged informal interaction, and an atmosphere with enough freedom for people to step away, reset, and return energised. The venue had to be exclusively theirs, with no external guests on the property, and the surroundings needed to support moments of focus as well as downtime.

From there, we built a curated shortlist drawn from several countries: Spain, Portugal, Italy, Greece, and Morocco. Each option came with a clear explanation of why it worked for the group size, how the flow of the retreat could unfold across the property, sample itineraries tailored to Airbnb’s objectives, and transparent budget ranges. These weren’t generic listings they were venues selected because they genuinely fit what Airbnb had described on our calls.

As we moved through the proposals together, one property consistently rose to the top: Gran Villa Rosa in Sitges, Barcelona. A 450-year-old private estate, restored with the kind of care that preserves its history without compromising comfort, it offered everything Airbnb required. The estate has numerous event spaces tucked across its grounds, shaded courtyards, pool terraces, indoor and outdoor dining zones, and accommodation spread in a way that gives groups both proximity and breathing room. Crucially, Gran Villa Rosa is available only for exclusive-use bookings, ensuring complete privacy throughout the retreat.

Once Airbnb confirmed their interest, we coordinated the full proposal process between their team and the venue. This included confirming capacities and layouts for every session, reviewing meeting room setups, refining menu options, and working through several pricing adjustments and itinerary edits. Because of the group size, even small details transitions between spaces, timings around meals, movement across the estate needed to be carefully shaped. Gran Villa Rosa’s team worked closely with us to provide clarity at each stage, making it easy for Airbnb to sign off with confidence.

By the time the retreat took place, the plan reflected exactly what Airbnb had asked for: exclusive use of the estate; relaxed yet well-organised team-building activities; chef-led meals that brought everyone together; and a schedule with enough structure to be productive but enough ease to feel natural. When the group arrived, the venue immediately set the tone warm, atmospheric, and conducive to the kind of informal conversations that never happen in meeting rooms.

Following the event, Airbnb shared that it had been the “best retreat they have ever had.” Rachel Peffer later sent a personal note expressing how smooth the entire process felt, how well the estate suited their group, and how valuable the support from Venue Retreat had been from the first call through the final day.

For us, the project reflects what Venue Retreat strives to do: listen carefully, curate thoughtfully, and match teams with spaces that elevate their time together. Airbnb left with a retreat that felt memorable, effortless, and true to what they needed and Gran Villa Rosa proved to be exactly the right setting for it.
